Stay

A Stay in ERPNext is created from a Reservation.
Each room in a reservation generates a separate stay — meaning one reservation can have multiple stays.

You can find the Stay ID from the Assigned Rooms Table in the Reservation.

Stay Details

Each stay shows the following information:

Reservation Number
Billing Name
Guest Mobile
Property
Room Type
Room Number
Booking Type
Rate Plan
Bed Type
Number of Adults and Children
Check-In Time
Check-Out Time

Status: Open / Check-Out

Item Table

The Item Table allows adding charges such as:

Food & Beverages
Extra Bed

Note: Room charges are not added manually here.

Room Charges

Room charges are posted automatically after Day End for open stays.
To post room charges manually, click Post Room Charges under the Posting button — this will post room charges for the current date.

Pricing

Room Charges:
Prices for room charges are fetched from the Item defined in the Rate Plan.
Additional Charges:
Prices for additional (manually added) items are fetched from the Selling Rate of the selected ERPNext Item.
GST Calculation:
GST is calculated from the very first Tax Template set on the item.
If no tax template is found, GST will be Nil.

Price Override

Once room charges are posted (automatically or manually), click Edit on the room charge row.
Click Allow Price Override.
Enter the new price; this will replace the existing value.

Important:
Price override works only on system-posted room charges (auto or manual), not on manually added items.

Checkout

Checkout from Posting Button:
Closes and checks out the stay, submitting it.
Checkout from Reservation:
Use Checkout All Stays to close all stays linked to a reservation.
