Rate Plan

The Rate Plan is a crucial component of the Guest House App — it defines the pricing structure for rooms and related services.
All reservations and billing depend on the Rate Plan selected for each room and booking type. Each property can have multiple rate plans based on factors like season, guest category, or promotional offers.
Example: Summer Rate Plan, Festival Season Rate Plan, Corporate Rate Plan, etc.

You can create or view rate plans by visiting:
Rate Plan List → Add New Rate Plan


Details Required While Creating a New Rate Plan

1. Property

Select the Property under which this Rate Plan will apply.
Only rooms belonging to this property can use the associated rate plan.


2. Active Checkbox

Tick the Active checkbox to make the rate plan available for use in reservations.
If left unchecked, the rate plan will remain inactive and hidden from booking options.


3. Rate Plan Name

Enter a name that clearly identifies the plan — e.g.: - Summer Rate - Festival Season Rate Plan - Corporate Rate Plan


4. Effective From

Choose the Effective From date.
This determines when the rate plan becomes valid and active for bookings.


Rate Plan Table

The Rate Plan Table defines how pricing applies for each room type and booking type combination.

Field Description
Room Type The room category this plan applies to (e.g., Deluxe 1, Villa).
Booking Type Defines who is booking the room, such as Member, Non-Member, etc.
Item The ERPNext Item linked to billing — this is used in the Sales Invoice.
Item Price Automatically fetched as the Selling Rate of the selected item.
Base Rate Should match the Item Rate — displayed across Guest House App documents for consistency.
Extra Bed Charges Additional charge per extra bed for the booking.
Meal Plan Defines meal inclusion type — e.g. EP (European Plan), CP (Continental Plan), AP (American Plan).

Meal Plans

1. European Plan (EP)

  • What’s Included: No meals are included in the room rate. Guests are responsible for all their meals, which can be taken at the hotel or outside.
  • Ideal For: Travelers who prefer flexibility and want to choose where and when to eat.

2. Continental Plan (CP)

  • What’s Included: Only breakfast is included, typically a light meal with pastries, coffee, and fruit.
  • Ideal For: Guests who want a quick breakfast at the hotel and prefer to have lunch and dinner elsewhere.

3. American Plan (AP)

  • What’s Included: All three meals (breakfast, lunch, and dinner) are included in the rate, often served at set times or buffet-style.
  • Ideal For: Guests looking for convenience with all meals provided at the hotel throughout the day.

4. Modified American Plan (MAP)

  • What’s Included: Typically, breakfast and one additional meal (usually dinner) are included, while lunch is not. This plan may offer a set menu or buffet for the included meals.
  • Ideal For: Guests who want two meals (breakfast and either lunch or dinner) provided by the hotel but prefer flexibility for the remaining meal of the day.

Important Notes

  • Only one Room Type + Booking Type combination is allowed per rate plan.
    Attempting to add a duplicate entry will throw an error:

    Duplicate Room Type + Booking Type not allowed: Deluxe 1 - Non Member

  • The system ensures each unique combination maintains consistent pricing and prevents overlapping rates.


Saving the Rate Plan

Once all details are filled: 1. Review all combinations in the Rate Plan Table.
2. Click Save.
3. If the plan is marked Active, it will automatically become available for selection in Reservations.

Step Action
1 Go to Rate Plan List → New Rate Plan.
2 Fill in Property, Name, and Effective Date.
3 Add room type combinations in the table.
4 Check “Active” if it’s ready for use.
5 Save and use it in Reservations.
