Ride User
The Ride Booking process allows users to book rides through the VCM ERP APP or through the browser. Users can fill in details related to the trip, such as pickup and drop-off locations, schedule details, ride type, and additional information. Once the details are submitted, the ride goes through an approval process before it is assigned to a vehicle and driver.

Steps for Booking a Ride through VCM ERP APP
1. Login to the VCM ERP App
- Open the VCM-ERP App on your device.
- Log in using the email or mobile number associated with your user account in ERPNext.
- Enter the OTP sent to your registered contact details to complete the login process.
2. Access the Vehicle Booking Module
- Once logged in, navigate to the Vehicle Booking icon on the main dashboard.
- Click on the Order section and then select the Add Icon button to start a new ride booking.
3. Fill in Ride Details
Schedule Details
- Trip Start Date: The default value will be set to the current date.
- Trip End Date: Select the date on which the trip will end.
- From Time: Specify the time the trip will begin.
- To Time: Specify the time the trip will end.
User Selection
- Select User: Choose your user profile from the list.
- Once the user is selected, the following details will automatically be filled in:
- Name
- Contact
- Department
Address Details
- Pickup Address: Enter the address where the ride will begin (mandatory).
- Intermediate Stop: If applicable, enter any stop between the pickup and drop-off locations.
- Drop Address: Enter the destination address (mandatory).
- Example:
- If you're traveling from Vrindavan to Delhi and back to Vrindavan, then:
- Pickup Address: Vrindavan
- Intermediate Stop: Delhi
- Drop Address: Vrindavan
- If you are traveling to Delhi from Vrindavan and not returning:
- Pickup Address: Vrindavan
- Drop Address: Delhi
- Note: All address fields must be filled in detail.
- If you're traveling from Vrindavan to Delhi and back to Vrindavan, then:
Ride Type Selection
- Choose the Ride Type:
- Local: For rides under 60 km (e.g., Mathura, Vrindavan).
- Intercity: For rides between 60 km and 150 km (e.g., Agra, Hathras).
- Outstation: For rides over 150 km (e.g., Delhi, Gurugram, Jaipur).
Extra Details
- Purpose: Specify the reason for booking the ride.
- Extra Description: Provide any additional requirements for the ride (e.g., specific vehicle needs).
4. Book the Ride
- Once all the details are filled out, click on Book Ride.
5. Approval Process
- The ride request will go through an approval process based on the Department and Ride Type.
- If the Category is "A" then the ride will be automatically approved, Also for Category "B" and Ride Type is "Local".
- Once approved, the Agent will assign the ride to a vehicle and a driver.
- The status of the ride will initially show as Not Assigned. After the vehicle and driver are assigned, the status will change to Assigned.
6. Ride Status
- Open: The ride order is still in progress.
- Closed: The ride is completed, and the order is closed.
Booking a Ride through Browser (ERPNext)
1. Login to ERPNext
- Open the ERPNext browser interface and log in with your credentials.
2. Navigate to the Vehicle Booking Module
- Go to the Vehicle Booking Module.
- Click on the Ride Order Shortcut to add a new ride order.
3. Fill in Ride Details
- The details required are the same as those in the mobile app:
- Schedule Details
- User Details
- Address Details
- Ride Type
- Extra Details
4. Approval and Assignment Process
- Just like in the mobile app, the ride will go through the approval workflow, and once approved, a vehicle and driver will be assigned.
5. Ride Status
- Open: The ride order is still in progress.
- Closed: The ride has been completed.
Additional Features Once Vehicle and Driver Are Assigned
1. View Booking Details
- Once the vehicle and driver are assigned to your ride, you can view the booking in the Booking Section of the app.
- The details of the driver and vehicle will be visible to you.
2. Contact the Driver
- You can contact the assigned driver using the following methods:
- Phone Call: Call the driver directly.
- WhatsApp: Send a WhatsApp message to the driver.
- This information will be available in the booking details.
3. Contact Vehicle Department in Case of Emergency
- If an emergency arises, you can contact the Vehicle Department via the emergency number provided in the app.
- The contact option will be available for phone calls only.
Additional Notes
- The Ride Order status will help users and administrators keep track of the ride’s progress.
- Ensure that all address fields are filled out completely, as incomplete details may lead to issues with ride assignment.
- Once the vehicle and driver are assigned, the user can contact the driver and vehicle department easily via the app.
